Our client, an innovative and relationship focused organisation based in Auckland are looking for an Office Administrator on a permanent basis.

Key responsibilities:

  • Provide executive administrative support to the team including diary management, document production, meeting arrangements as well as mail collection/processing
  • Provide research support specific to activities as required – specifically with database administration and updating, research and reporting
  • Provide administrative support for all Global Board meetings including preparing agendas and circulating Board papers, attending Board meetings, recording and circulating minutes to Board and Leadership Team, monitoring Board action items and liaising directly with Board members to ensure completion
  • Liaise with a wide range of internal and external visitors on behalf of the organisation, including organising accommodation and visitor itineraries as required for World Class New Zealanders
  • Liaise with and provide support to the team to ensure the successful and compliant organisation of events including data entry, guest administration, venue set up, preparation of event collateral/invitation content – banners, presentations, name tags, marketing material
  • Provide support for purchasing, receipting and reconciliations ensuring alignment with finance policy
  • Organise authorised business travel for staff and guests
  • Demonstrate excellent customer service through reliable, efficient and accurate execution of service deliverables
  • Demonstrate a high level of interpersonal skills through relationship management, advocacy and negotiation either internally or with outside organisations or key stakeholders

  • Experience in an administrative role with multiple stakeholders
  • Ability to work effectively in a small global team with multiple internal
    and external stakeholders
  • Outstanding interpersonal skills
  • Excellent verbal and written communication skills
  • Excellent time management and organisational skills
  • Decisive, proactive person who takes the initiative and requires little supervision
  • Excellent attention to detail and accurate record keeping
  • Problem solving skills and an ability to think “outside the square”
