Our client is looking for a Personal Assistant/Project Assistant on a permanent basis. You will be highly efficient and thrive in a varied, fast paced working environment!

Key responsibilities:

  • Supporting the individual senior leader by providing personal assistance in prioritising, organising, planning and scheduling day to day and over all workflow. Managing expenses, correspondence and general administrative functions
  • Active management of diaries and calendars, acting as a both a gatekeeper and facilitator
  • Managing the set-up of meetings, ensuring reports and deadlines are met
  • Preparing of correspondence, reports and presentations as required
  • Maintaining open lines of communication between internal departments
  • Keeping the managers up to date with workflow and planning
  • Reminding the managers of important tasks and deadlines
  • Managing databases and filing systems
  • Implementing and maintaining procedures and administrative systems
  • Collating and filing expenses
  • Editing of management documents such as PowerPoint presentations, Word documents and excel spreadsheets
  • Support to the Executive Assistant to the General Manager where required
  • Help maintain responsibility and accountability for all Company records, management of office assets such as; supply logs, personnel files, ICT equipment, etc. (e.g. secure storage, destruction, password protections, SIM/Phone locks, key registers
  • Ensure confidentiality of information and compliance with quality processes

About you:

  • Experience of medium-high level administrative work - previous position as PA/Administrator/Project Assistant or similar is preferred
  • Be comfortable with some ambiguity and always maintain a level of confidentiality
  • Great relationship management skills with confidence in dealing with a wide range of people
  • Ability to work across multiple IT platforms including Microsoft Suite
  • Computer skilled to an advanced level
  • Solid writing skills and the ability to communicate with stakeholders of varying seniority
  • The ability to think and act proactively, flagging items as appropriate
  • Flexible, approachable and professional
